Crucial Dates

The following dates are significant as BVA National Headquarters, regional groups, and individual members prepare for the 59th National Convention. Please refer to the corresponding checklist of actions in preparing for the event. Questions can be addressed by calling BVA National Headquarters at 800-669-7079. Asterisks indicate actions required by the BVA National Bylaws.

1. January 1-25* - Mail call for nominations for BVA Certificates of Appreciation.
2. January 1-25* - Mail call for nominations for Maas and Diener Awards.
3. January 1-25* - Mail call for nominations for Wilburn H. Long Employment Award.
4. March 12* - Mail reminder to regional group presidents and secretaries that any proposed bylaw amendments for consideration at the 59th National Convention must be postmarked to national headquarters no later than 90 days before the convention (May 12).
5. March 12* - Mail credentials forms to regional group presidents, vice presidents, secretaries, and treasurers (three copies each as dictated by Article XIV, Section 12c).
6. March 13 (no later than 150 days before convention) - Mail call for nominations for Directors of Districts 3 and 4 to members and associate members in good standing residing in the two districts (Article VI, Section 3a).
7. March 13 (no later than 150 days before convention) – Mail call for nominations for Director of District 2 to members residing in said district (Article VI, Section 5).
8. April 16* - Nominations for BVA Certificates of Appreciation due at national headquarters.
9. April 16* - Nominations for Maas and Diener Awards due at national headquarters.
10. April 16* - Nominations for Wilburn H. Long Employment Award due at national headquarters.
11. Mid-April* - 59th national convention package sent to printer.
12. May 2 (no earlier than 100 days before convention) - Earliest date to mail pre-registration package/official convention notice.
13. May 12 (no earlier than 90 days before convention) - Earliest date to mail ballots for elections of Directors of Districts 3 and 4 (Article VI, Section 3d) to district members.
14. May 12 (no earlier than 90 days before convention) - Earliest date to mail ballots for special election for Director of District 2 (Article VI, Section 5).
15. May 12 (no later than 90 days before convention) - Proposed bylaw amendments must be sent to BVA National Headquarters postmarked no later than this date (Article XIX, Section 1b).
16. May 12 (no earlier than 90 days before convention) - Earliest date to mail proposed bylaw amendments to members in good standing (Article XIX, Section 1b).
17. May 12 (90 days before convention and 60 days following original mail call) - Nominations for Directors of Districts 3 and 4 due at national headquarters (Article VI, Section 3a).
18. May 12 (90 days before convention and 60 days following original mail call) - Nominations for special election for Director of District 2 (Article VI, Section 3a).
19. May 27 (no later than 75 days before convention) - Latest date to mail pre-registration package/official convention notice.
20. June 1 - Latest date to mail ballots for regular elections of Directors of Districts 3 and 4 and special election for Director of District 2 (Article VI, Section 3d – see #13 above).
21. June 15* - Mail annual financial report forms (three copies) to treasurers of regional groups (Article XIV, Section 13a, Part 3).
22. June 26 (no later than 45 days before convention) - Ballots for elections of Directors of Districts 3 and 4 postmarked to national headquarters no later than midnight (Article VI, Section 3e).
23. June 26 (no later than 45 days before convention) - Latest date to mail proposed bylaw amendments to members in good standing (Article XIX, Section 1b – see #15 above).
24. July 1 (no later than 40 days before convention) - Regional group meeting notices to elect convention delegates must be mailed. Copy of notice must be mailed to BVA National Headquarters at the same time it is mailed to group membership (Article XIV, Section 12b, Parts 1 and 2).
25. July 6 (no later than 35 days before convention) - Count election ballots for Directors of Districts 3 and 4 and special election for Director of District 2 (Article VI, Section 3g).
26. July 20 (no later than 21 days before convention) - Completed delegate credentials forms and proxy forms must be postmarked to national headquarters (Article IX, Section 2c; Article XIV, Section 12c, Part 2).
